FAQ

Questions people ask before they buy.

Data and security

Does TieOut Pilot connect to our ERP?

No. It reads exports and documents you upload. There is no integration to build, no credentials to hand over, and nothing is ever written back to your systems. API-based upload is available on Enterprise for automation.

Where is our data stored and for how long?

Google Cloud, asia-east1 by default (EU and US regions on request). Default retention is 90 days per workspace, configurable from 30 to 730 days. Deletion requests are executed within 30 days; backups roll off within 35.

Is our data used to train models?

No. Documents are sent to the model provider only to answer the request in hand, under enterprise terms that exclude training. We do not train on customer data either.

Which model providers?

Google Vertex AI by default through our channel. You can bring your own key for Anthropic, OpenAI or Google; the model meter is then zero and you pay the provider directly.

Can our auditor get access?

Yes — an auditor role with read-only, time-boxed access to a workspace, so they can navigate the packs and the index themselves.

How it decides

Does the AI decide what matches?

No. Matching is deterministic code with rules you set; it is repeatable and auditable. The language model is used only to read documents behind unmatched items and propose an explanation, always with a citation.

What happens when it is not sure?

The item is marked 'needs a person' with the candidate documents attached. Explanations without a citation are rejected by the pipeline; the agent never fills a gap with a guess.

Can it post the adjusting entries?

No. Entries are drafts in your chart of accounts. A person approves and posts them in your system.

Will it read handwritten amendments?

It detects them and shows both the printed and handwritten figure with the image region. It does not choose one.

How accurate is the OCR?

Good on printed invoices and statements; weaker on poor scans. Low-confidence OCR regions are highlighted for review rather than passed through silently.

Formats and scale

What file formats are supported?

Ledgers: XLSX, XLS, CSV, TSV. Documents: PDF (text or scanned), JPG, PNG, DOCX. Bank: PDF, CSV, MT940, camt.053. Correspondence: EML, MSG, pasted text.

How many entities can one workspace handle?

Practice is sized for client groups of 10–15 entities; Group for up to 40; Enterprise beyond that or with multi-region needs.

Does it handle multiple currencies?

Yes. Each entity's functional currency is set once; group policy rates are uploaded as a table or pulled from a source you name. FX differences are recomputed at the policy rate and shown separately.

What about netting centres and loans?

Netting statements are read and gross items cleared against the net settlement. Loan interest is recomputed under the agreement's day-count and application-of-payments clauses.

Pricing and billing

What is a Reconciliation Unit?

One RU is one document page read and classified, or one unmatched item explained (3 RU) — see the examples on the pricing page. Matching runs are free, so you pay for reading and explaining, not for every line.

How are model tokens billed?

As a separate meter at the provider's list price, shown as model_access_usd on your invoice. With your own key the meter is zero.

Why buy through Google Cloud Marketplace?

The charge lands on your existing Google Cloud invoice, counts toward any committed spend, and goes through procurement you have already done. Annual plans can be private offers.

What if we exceed the included units?

Overage bills at the plan's RU rate, itemised. You can set a hard cap per workspace so a bad month cannot surprise you.

Can we buy without Marketplace?

Yes — direct invoicing from Carnegie Intelligent Technology Limited (Hong Kong) in USD.

Early access

What does early access mean?

The product is being built with a small number of design partners using their real documents. You get a workspace, direct access to the team, and pricing locked at today's rates for the first year. Features described on this site reflect the design; some are not yet live.

How long does onboarding take?

Upload one client group's exports and documents; mappings are proposed the same day. Most partners run a full month-end within two weeks.

TieOut Pilot is in early access.

We are onboarding a small number of design partners with real documents and real deadlines. Tell us what you work on and we will set up a workspace with your material.
